Getting started and onboarding
What is the onboarding process like?
- Discovery (30–45 min) meeting to define outcomes, tools, initial tasks, and weekly hour caps.
- You provide access to your CRM and other systems.
- We create SOPs and pilot tasks in week one to validate quality and speed.
- We schedule your regular weekly check-in (at least one 15-minute meeting; complex work often benefits from two).
- We review and refine at the end of week 2 and again at month end.
Who trains the VA and who creates SOPs?
You provide business-specific context and examples. Your VA drafts SOPs from your inputs. Veldtech reviews for clarity and stores the SOPs in our system.
Communication and meetings
How will we communicate?
Directly with your VA via your preferred channels: chat, email, phone, or video. We recommend video for faster alignment and richer feedback.
Can I contact my VA outside coverage hours?
Yes, send messages anytime. VAs are available during the Business Day unless otherwise stated in the SOW. Messages received outside coverage hours are handled the next Business Day; VAs don’t respond outside coverage hours.
What is the meeting schedule?
At least one 15-minute check-in each week. For complex work, two short meetings per week are recommended. The VA may request additional brief meetings to clarify scope.
Time tracking and reporting
How do we track hours?
Your VA sends clock-in/clock-out messages and a daily End-of-Business report (hours, tasks, metrics). A weekly summary is available on request.
How does reporting work?
You receive a daily End-of-Business summary with tasks completed, metrics, next steps, and any ongoing issues, delivered by chat, email, or a shared doc. A Friday weekly summary is optional and recommended. We check-in at month end on progress and next-month goals.
Billing and payments
How are we billed and when are payments due?
Hours are tracked during the month and invoiced at month end. Payment terms are Net 15 from the invoice date. If authorized, autopay runs on the 5th of the month for the prior month’s charges. Card payments include a 2.99% processing fee; ACH has no fee. Please raise any disputes within 10 days.
What is the Minimum Weekly Retainer (floor)?
If you select a weekly Package, each calendar week bills the greater of Hours Worked or the Next Lower Plan Hours. Defaults: 40→20, 20→10, 10→5. Holidays and approved PTO do not increase the floor and do not count toward Hours Worked.
Coverage, holidays, and time off
What hours will my VA work?
Unless your SOW states otherwise: Monday–Friday, 8:00 am–5:00 pm Pacific Time.
Which holidays are observed?
U.S.-based staff observe standard United States holidays. Philippines-based staff observe standard Philippines holidays. We give advance notice for planned leave and offer reasonable rescheduling for missed hours if requested.
Is backup coverage guaranteed?
No. Service is delivered by a single Assigned VA. Backup coverage isn’t guaranteed unless explicitly added to your Statement of Work.
Tools, security, and phones
Do I need to provide a phone system?
Yes. If you want your VA to place or field calls, please provide a VoIP phone service or dialer (caller ID, voicemail, campaign settings).
How is data protected?
VAs use cloud-hosted workstations located in the United States with MFA, encryption, least privilege, and monitored access.
Can the VA use my email domain?
Yes. The client provides a branded email (alias or mailbox). If you need help, our sister company Veldtech IT & Network Solutions can provision it on request.
Scope, performance, and changes
What if we don’t like the current VA. Can we get a replacement?
Yes. We coach and reset expectations first. If there’s still a mismatch, we present a replacement and transition plan. We aim for a short overlap to hand off work (timelines depend on availability).
Can I set a weekly hours budget?
Yes. Share your weekly hour cap with your Veldtech account contact. We’ll record it and notify you before exceeding it.
What if tasks take longer than expected?
We communicate early with a revised estimate and options. You decide whether to continue, pause, or adjust scope.
Legal and ownership
Who owns the work product?
You own the deliverables your VA creates for you. Veldtech retains ownership of pre-existing tools and templates, licensed only as embedded in deliverables.
Do you sign NDAs?
Yes. Our standard agreement includes confidentiality, and incoming VAs sign NDAs during hiring. We can also sign a client-provided NDA if needed.
